The type of personal information we collect
We currently collect and process the following personal data:
- name
- contact details including address, email and telephone number
- date of birth
Financial information
Your financial information (credit cards) is processed but not stored. Details are entered directly into card machines at the time of payment. Refunds or payment for manually issued admission tickets are processed through Stripe, our payment system.
How we get the personal information and why we have it
We receive information directly from you by telephone, email or letter. We also receive information indirectly through the DigiTickets online booking system.
Most of the personal information we process is provided to us for one or more of the following reasons:
- to process requests to purchase admission tickets to the science centre and to send digital tickets to the purchaser
- so that you can redeem your ticket and purchase when you arrive on site
- NSL annual parking permits
- issuing of annual loyalty card, season tickets or membership for The Look Out Discovery Centre or for Woodlarks Cafe
- to request feedback on your visit and to inform you of offers or events that may be of interest for The Look Out Discovery Centre

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information is Article 6 UK GDPR:

Where we use consent to process your personal data, we will explain to you what we are asking you to agree to and why.

If you remove your consent, we are unlikely to be able to provide continued services to you.
Who we share your information with
Information held by the council may be shared with the following organisations:
- NSL is the council’s parking contractor who runs the car park at The Look Out. They share information such as vehicle registration numbers with us in case of site emergencies
- DigiTickets Ltd is the booking system used by the council to book visits to The Look Out
- Stripe is The Look Out’s payment processor who processes online payments made for visits
How we store your personal information
Your information is securely stored by The Look Out Discovery Centre on our secure server. We keep contact details for six years.
We will then dispose your information by deleting the information from our server.
Retention periods are laid out in the council’s retention and disposal schedule.

Making a request

Service adjustments
As a public authority and a provider of services to the public, we have a legal duty to comply with the Equality Act 2010.
This means we need to make service adjustments for anyone with a disability who contacts us in any capacity, to eliminate any barriers to accessing our services.
Our lawful basis for processing this information is article 6(1)(c) of the UK GDPR as we have a legal obligation to provide this. Our processing of special category data, such as health information you give us, will be based on article 9(2)(a), which means we need your consent.
We will create a record of your adjustment requirements. These will give your name, contact details and type of adjustment required, along with a brief description of why it is required. Relevant staff can access this to make sure they are communicating with you in the required way.
